Adding a Stakeholder: Step-by-Step Walkthrough

Adding a stakeholder to your engagement platform is like preparing the ultimate contact card—but with the power to manage projects, preferences, and communication settings all in one go! Here’s how to do it.

Step 1: Locate the Add Stakeholder Page

1. Navigate to the Stakeholders section in your Backstage area.

2. Click the Add Stakeholder button. This takes you to the stakeholder creation form.


Step 2: Fill Out Basic Information

Start by adding the essential details:

Full Name: Enter their first and last name in the provided fields.

Email Address: This is used for notifications. You’ll get a real-time check to ensure the email isn’t already in use. If it is, a friendly warning will appear.

Phone Number: Use the standard format (e.g., 04 123 456 789).

Pro Tip: Make sure the email is unique—duplicate emails won’t work here.

Step 3: Business or Association

Under “Business/Association,” enter their organisation or department. This helps you group stakeholders more effectively.

Step 4: Age Range and Address

• Select an Age Range from the dropdown. Options include ranges like 18-21, 22-25, etc.

• Fill in the Address and Postcode fields to make geographic filtering and project assignments seamless.

Step 5: Additional Details

Gender: Choose from Male, Female, or Other.

First Nations: Tick the checkbox if the stakeholder identifies as Aboriginal or Torres Strait Islander.

Preferred Language: Select from a dropdown menu of languages, with English preselected by default.

Step 6: Power/Interest Matrix

Assign them a category to represent their involvement:

Manage Closely: High power, high interest.

Keep Satisfied: High power, low interest.

Keep Informed: Low power, high interest.

Monitor: Low power, low interest.

Step 7: Privacy Preferences

Let them decide how they prefer to be contacted:

No Restrictions: Open to all communication methods.

Platform Only: Prefers to be contacted via the platform.

Phone & SMS: Prefers mobile communication.

Step 8: Link Projects

Link the stakeholder to relevant projects:

1. Use the dropdown menu to search for projects.

2. Select one or multiple projects.

3. Confirm your choices, and they’ll be saved in the stakeholder profile.

Step 9: Send Details (Optional)

Want to notify the stakeholder? Tick the Send Details checkbox to email them their account information.

Step 10: Save Your Work

1. Review the form to ensure everything is accurate.

2. Click Add Stakeholder to save the profile.

3. Done! You can now view and manage this stakeholder from the list.

Troubleshooting Tips

Email Issues: If the email is already in use, try editing the stakeholder profile instead of creating a duplicate.

Missing Projects: Ensure the project exists in the platform. You might need admin permissions to add new projects.
