Understanding & Managing Stakeholder Profiles
Stakeholder Profiles help you centralize and organize key information about each stakeholder. By maintaining these profiles, you can ensure accountability, transparency, and consistency in your engagement efforts across your entire team.
Why Use Stakeholder Profiles?
- Centralized Information: Keep names, emails, and any other relevant details together in one place.
- Better Engagement: Understand the needs, interests, and concerns of each stakeholder.
- Team Alignment: Quickly share updates and maintain consistent records of interactions.
Note: Every stakeholder profile must include at least a name and an email.
Stakeholder Overview
The Stakeholder Overview page displays all the stakeholders in your platform. You can:
- Search or Filter stakeholders.
- View basic information (e.g., name, email, other fields).
- Add a Stakeholder quickly with a simple form.
- Export Stakeholders to generate an Excel file containing all stakeholder data (useful for data analysis, sharing or archiving).
Inside a Stakeholder Profile
When you open a stakeholder’s profile, you can:
- Link Projects: Associate the stakeholder with one or more projects.
- Manage Involved Team: Add or remove team members who are actively engaged with this stakeholder.
- Stakeholder Tags: Add tags to categorize or filter stakeholders for easy management.
- Stakeholder Analysis (AI-Powered): The platform analyzes all the attached information (e.g., interactions, documents) to provide insights—helping you make better decisions without replacing human judgment.
- Interactions: Log and review meetings, calls, emails, and other forms of communication.
- Conversations: See every conversation thread with the stakeholder in one centralized view.
- Documents: Attach or review contracts, emails, and other relevant files.
- Tasks: Monitor and manage tasks linked to this stakeholder.
- Stakeholder Notes: Add or review notes containing any important details you want to share with your team.
Managing the Profile
Click the Manage button to:
- Edit Profile: Update the stakeholder’s information.
- Suspend User: Temporarily disable a stakeholder’s access.
- Remove Profile: Permanently delete the stakeholder profile.
Depending on your role, you may see some or all of these options. (it’s nothing personal! 🙂 )
Exporting a Stakeholder Profile
Each stakeholder profile can be exported individually to an Excel file containing:
- All Stakeholder Data (basic info, tags, etc.)
- Interactions
- Conversations
- Documents
- Tasks
- Notes
This export is helpful for sharing details with colleagues or archiving. You remain in full control and ownership of your data—access and export as needed.
